HotRent provides an AI-powered property management workspace for property managers, owners, tenants, and vendors. This Privacy Policy explains how we collect, use, store, share, and protect information when you use our websites, applications, and services (collectively, “HotRent”).

We collect information that you provide directly, that is generated through your use of our services, and that we receive from integrated third parties.

• Account information: name, email, phone number, password, role, company affiliation, and profile details.
• Property and rental data: addresses, unit details, lease terms, rent amounts, owner and tenant records, maintenance tickets, inspections, notices, and files.
• Communications: messages, emails, SMS, push notifications, and support inquiries sent through or integrated with HotRent.
• Identity verification: government-issued ID information, date of birth, and address where required for owner onboarding or tenant screening.
• Payment information: payment method references and transaction records handled by our payment processors.
• Usage and device data: IP address, browser type, device identifiers, pages visited, and feature interactions.

• Provide, operate, and improve HotRent services.
• Facilitate property management workflows between property managers, owners, tenants, and vendors.
• Process rent payments, maintenance requests, showings, applications, leases, and notices.
• Send service-related notifications, reminders, and security alerts.

• Maintain audit trails, activity logs, and security monitoring.

HotRent connects with third-party services that you or your organization choose to enable. Data is shared only as necessary to operate those integrations and is subject to the applicable third-party privacy policies.

• Buildium: property, owner, tenant, lease, and accounting synchronization.
• DocuSign: electronic signature envelopes for leases, notices, and service contracts.
• Google Drive: file backups and document storage.
• Meta / Facebook: rental listing feeds and lead imports where configured.
• SingleKey: tenant background screening reports.
• Payment processors: card and bank payment processing.
• Email/SMS providers: delivery of notifications and verification messages.

We do not sell personal information. We may share data with service providers, legal authorities when required, or in connection with a business transfer.

We retain information for as long as necessary to provide our services, maintain audit trails, comply with legal obligations, resolve disputes, and enforce agreements. Some data, such as signed documents, payment records, and audit logs, may be retained for extended periods based on legal or business requirements.

• Update your profile and notification preferences through your account settings.
• Request a copy of, correction of, or deletion of your personal information, subject to legal and contractual retention requirements.
• Opt out of non-essential communications where available.
• Disable integrations from the Integrations or Settings pages.
